Self-hosted client portal: is it right for you?
What changes when the portal runs on your server instead of the vendor’s: the bill, the data, the upkeep and the seat count. And when hosted is still the better call.
Full admin and client portal
No call, no card
By Vibemonk Updated Oct 25, 2026 We build ClientOS
Hosted
Their server, a monthly bill, seats counted
Self-hosted
Your server, paid once, no seat count
Short answer
Self-host if you would rather pay once than per seat, want client data on a server you control, or need it in a particular country. Stay hosted if you never want to own a server or you depend on Zapier, Make or a vendor API.
Of the portals in this guide, only ClientOS (ours) is self-hosted. Wayfront and the others are hosted only.
Our bias, up front. This guide is written by Vibemonk, the team behind ClientOS, one of the products compared. Every price links to the vendor's own page, and the places where others beat ClientOS stay in.
Side by side
What changes when you self-host
Wayfront stands in for hosted and ClientOS for self-hosted, using the same sourced rows as the full comparison. A green check marks the better side.
| Topic | Hosted (Wayfront) | Self-hosted (ClientOS) |
|---|---|---|
| How you pay | Monthly subscription: Base $129/mo ($99 yearly), Pro $299/mo ($249 yearly) | Once: $990, $1,790 or $2,690, plus your own server (about $10–25/mo)Better here |
| Team seats | 5 on Base, 10 on Pro, then $18–20 per extra seat each month | No limit on staffBetter here |
| If you stop paying | The portal stops; export your data first | Keeps running on the version you have; only updates stopBetter here |
| Where it runs | Wayfront’s cloud (AWS, N. Virginia, USA) | Your server, in any country you chooseBetter here |
| Who can see client data | Stored with Wayfront, encrypted at rest | Only you. Nothing leaves your server but a license check-inBetter here |
| Server work | None, it is hosted for youBetter here | One command to install, update or back up, or we do it (Pro) |
| Updates | Always the latest, includedBetter here | 1 year, 3 years or lifetime, by package |
Decide
Who should self-host, and who should not
Self-host if…
- Your team is past 5 or 10 people, or soon will be
- You would rather pay once than every month
- Clients ask where their data is stored, or it must stay in one country
- You want the portal to keep running even if you stop paying for updates
Stay hosted if…
- You never want to think about a server, even one set up for you
- You rely on Zapier, Make or a vendor API
- You need time tracking or a multi-language portal today
- You only need a portal for a few months
What it takes
What you need to run one
For ClientOS. Other self-hosted software asks for something similar.
- 1
A Linux VPS
2–4 GB of RAM, from about $10–25 a month at any host, in any country.
- 2
A domain
For the portal and admin, such as portal.youragency.com.
- 3
An email sender
A Resend account, so emails go out from your address.
- 4
One command
Installs, updates or backs up. Or the team installs it for you (Pro and Agency).

Self-hosting
Self-hosted client portals: questions
What is a self-hosted client portal?
A client portal that runs on a server you rent or own, instead of on the vendor’s cloud. You install it once, it serves your clients on your domain, and the data stays on that server.
Is a self-hosted client portal more secure?
It depends on who looks after the server. Self-hosting means client data sits on infrastructure you control and nobody else can read it. It also means updates and backups are your job, so pick software that makes both a single step.
How much does it cost to self-host a client portal?
The license plus a server. ClientOS is $990, $1,790 or $2,690 once, and a suitable VPS costs about $10–25 a month. For 10 people over three years that is about $2,510, against $8,964 for Wayfront Pro billed yearly.
Do I need a developer to self-host?
Not for ClientOS. You need a Linux VPS with 2–4 GB of RAM, a domain and a Resend account for email, and one command installs everything. On the Pro and Agency packages the ClientOS team installs it on your server for you.
Is Wayfront self-hosted?
No. Wayfront is hosted only, on AWS in N. Virginia, USA, and there is no way to run it on your own server. The same is true of ManyRequests, SuiteDash, Assembly, Agency Handy and Plutio.
